Admin & Finance Coordinator

About the role

As the Admin & Finance Coordinator at Noetic Creative, you will be the operational backbone that ensures financial accuracy, smooth administrative processes, and seamless support for the CEO. This fully remote position blends bookkeeping, payroll, and executive assistance while leveraging AI tools to automate and improve workflows.

Key responsibilities

• Full‑cycle bookkeeping: categorise transactions, manage AR/AP, and track expenses.
• Handle client invoicing, payment follow‑up, and vendor payments.
• Process bi‑weekly payroll for US and LATAM team members using Hubstaff, QuickBooks, Wise and Chase Bank.
• Reconcile credit‑card statements and monitor multiple accounts.
• Prepare monthly profitability and financial reports for leadership.
• Track recurring obligations such as mortgages, taxes, insurance, subscriptions and renewals.
• Manage system access, onboarding/offboarding, and maintain internal records and contracts.
• Serve as the primary point of contact for administrative queries and keep SOPs up‑to‑date.

Required profile

• Highly detail‑oriented with a passion for clean numbers and organized processes.
• Comfortable working with spreadsheets and financial software.
• Clear communicator who can support the CEO and the wider team.
• Enthusiastic about implementing AI‑driven automation in finance and ops.
