Supply Chain Assistant (Ecuador)

About the role

The International Organization for Migration (IOM) is seeking a Supply Chain Assistant to support procurement and logistics activities in Ecuador. Working under the Resources Management Officer and the Supply Chain Officer, you will help ensure that goods and services are delivered to beneficiaries efficiently, cost‑effectively, and in line with IOM standards.

Key responsibilities

• Receive, verify, and consolidate procurement requisition forms, ensuring compliance with the Purchase Authorization Matrix.
• Prepare tender documents, solicit bids, conduct bid analysis, and share results with requesting units.
• Confirm terms with selected suppliers, draft purchase orders or contracts, and coordinate necessary authorizations.
• Monitor open requisitions, follow up on delivery timelines, and coordinate receipt documentation with end‑users.
• Review vendor invoices, prepare payment requests, and liaise with Finance for timely payments.
• Maintain physical and electronic procurement records and support the preparation of periodic reports.
• Conduct market surveys, evaluate potential suppliers, and contribute to supplier selection based on quality and price.
• Track contractual agreements, notify relevant parties of renewals, and manage office supply requisitions.

Required profile

• Internal or external candidates with a background in procurement, logistics, or supply chain management.
• Ability to work collaboratively with multiple units and adhere to IOM procedures.
• Strong organizational skills and attention to detail.
